As the partner-focused professional programs and events management team, Smith Programs & Events (SPE) provides full-service planning and consultation services to the Smith Community. SPE is the centralized resource for all strategically aligned Smith School events, meetings and conferences, creating a holistic event experience to enhance the Smith brand. We produce impactful events, meetings and conferences that engage the internal and external communities in the Smith School’s global mission by providing platforms to showcase our intellectual capital and connect stakeholders in support of Smith’s vision and strategic goals.

Procedures

Detailed Smith Programs & Events information on topics including catering, registration, etc. is available on the Smith Programs & Events page on the Smith Intranet. Access to the intranet is limited to the Smith Community. Smith Community members can access the intranet using their UMD Directory ID and password. We recommend ensuring you are logged into the intranet to utilize the direct links on this page for easy navigation. External groups should contact our office for more information or begin by requesting a venue.

Smith Scheduling System 

The Smith Scheduling System is the primary platform for the Smith community to make reservations for programs and events taking place in Van Munching Hall, BioPark, and the Ronald Regan Building. Initial requests for SPE planning and execution support should also be submitted here. Once class schedules are finalized each semester, the Smith community will receive notifications regarding the system's availability for event scheduling. If the event request includes a request for planning assistance from Smith Programs & Events, you will be contacted to schedule a consultation meeting upon approval.

Event Requests

Any function that exceeds the scope of a typical meeting, class, presentation or discussion is considered an event and requires a submitted event request. If your gathering involves elements such as catering, specialized room setups or registration processes it also requires an event request, even if specific support from our office is not required. 

Event Requests must be submitted to the Smith Scheduling System at least four weeks before the proposed event date for acceptance by the reservation system. These requests will undergo continuous review, with priority scheduling given to events occurring in the upcoming or current terms.

Furniture Moves/Setups & Linen Requests

When event planning assistance is not requested, furniture moves, set-ups, tables, and linens for approved events may be requested through the Smith Service & Support Center form on the Intranet. Make a Request

SPE has an extensive and centralized inventory of items you may reserve, typically at no charge, including:

  • Linens- Smith branded
  • Plants and centerpieces
  • Signage boards and easels
  • Speaker stage seating and furniture
  • Step and repeat signage
  • Tents
  • Yard games

Smith Programs & Events for External Groups

Groups external to Smith may rent our event spaces when available. For a fee, SPE can also provide external groups with full-service event support or consult on individual items as needed.

External groups should use the following forms to request rental space and services at any of our three venue spaces, or contact us with any questions.

Smith Suite at the Ronald Reagan International Trade Center in Washington, D.C.

Smith Suite at the UMD BioPark in Baltimore, Md.
